Using TallyPrime away from the office: remote access, browser reports and cloud

By the PowerTally team 4 min read

Check reports on your phone, work in the books from home, or run TallyPrime on a cloud server. The options Tally offers, what each one needs, and which fits you.

Three ways to work away from the office

TallyPrime gives you three main options. Reports in Browser lets you view and download reports from any web browser, including on a phone. Remote Access lets you open your office company in TallyPrime from another computer, record transactions and view reports. And TallyPrime can run on a server, in your office or in the cloud, that people reach over a remote desktop connection.

The first two are Tally’s connected services. Tally states that both need an active TSS and a company connected to Tally.NET services, which is why they stop working when TSS lapses. The third depends on how TallyPrime is installed and licensed.

Reports in a browser, on any device

To set it up, you connect the company to Tally.NET (Alt+K, Connect) and give each person a Tally.NET ID with Allow Browser Access set to Yes in Users and Passwords. They then log in at tallysolutions.com, choose a connected company and open a report. Tally lists reports such as the Balance Sheet, Profit and Loss, Trial Balance, Day Book, Sales Register and Stock Summary.

Browser access is for viewing: you can change the period, drill down to vouchers and download reports or invoices as PDF or Excel, but you can’t edit entries. Security levels decide who sees what. Tally.NET Owner and Auditor see every available report, while a Tally.NET User sees a shorter list.

The data is fetched live from the computer running TallyPrime. If that computer loses its internet connection or goes to sleep, the browser shows nothing. Locking the screen is fine, so set the office machine not to sleep during the hours you’ll want to check figures.

Remote Access: working in the books from home

Remote Access is for people who need to do more than look. The remote user opens TallyPrime on their own computer, presses Alt+F3, chooses Select Remote Company, enters their Tally.NET ID and password, and picks the connected company. Depending on the permissions you give them, they can record or alter vouchers, and an external auditor can check the books without visiting.

It needs an internet connection on the computers where TallyPrime is installed. From TallyPrime Release 3.0, a remote user can select more than one company. Give each person only the access their job needs, the same way you would for staff in the office.

Running TallyPrime on a cloud server

Tally confirms that you can host TallyPrime and its data on a cloud platform and reach it remotely. In this setup, TallyPrime is installed and activated on the server, people connect with a remote desktop tool such as Windows RDP, and their own devices don’t need TallyPrime installed. Under Tally’s licensing, this kind of virtual access needs a Tally Virtual User (TVU) pack.

The difference from Remote Access is where the work happens. Everyone works on one set of data on the server, so no office computer has to be left on, and staff in different towns are in the same books at the same time. Because the data lives on that server, backup and security have to be arranged with whoever runs it.

Branches: synchronization, not remote login

If a branch has its own TallyPrime and you want its entries at head office, synchronization is the usual answer rather than remote login. You set rules for which masters and transactions to send or receive, one way or both ways. With on-demand sync, the rules are held on the Tally.NET server until the other side runs the sync, so the two companies don’t need to be connected at the same time.

All locations need the same release of TallyPrime. Our guide to managing stock across branches covers how branches and godowns fit together.

Choosing, and how Powercomputers helps

As a rough guide: an owner who wants to check sales and cash from a phone needs browser reports. An accountant who enters data from home needs Remote Access. A team spread across offices that all work on one set of books may be better served by a cloud server.

Powercomputers installs TallyPrime and VFD either locally on your own computers or on our cloud server, renews TSS so connected features keep working, and trains your team in-house, on-site or remotely, with day-to-day support once you’re live.
