Tracking stock across branches and warehouses in TallyPrime

By the PowerTally team 2 min read

Godowns, stock journals, batches, reorder levels and branch sync: how TallyPrime keeps stock straight when it sits in more than one place.

Godowns: one for each place you keep stock

TallyPrime calls each place you keep stock a godown, or location: a warehouse, a shop, a branch store. You can create as many as you need and arrange them in a hierarchy, for example a region with several stores under it.

Stock in each godown is treated as its own lot. The Godown Summary and Location Summary reports show what’s where, and a parent location’s report includes the stock of every godown under it, so you can read a single store or a whole region.

Moving stock between godowns

When stock moves from the warehouse to a shop, record it with a stock journal: the item and the godown it leaves on one side, the same item and the godown it arrives at on the other. Total stock doesn’t change, but each location’s balance does.

If most transfers go to one destination, the stock journal can be preset for inter-godown transfers so staff only pick the source. Recording every move this way is what keeps the location reports reliable.

Batches, expiry dates and reorder levels

For goods with a shelf life, TallyPrime can manage stock in batches with both manufacturing and expiry dates. That matters for pharmacies, food distributors and anyone who needs to move the oldest stock first.

Set reorder and minimum order levels on items, and TallyPrime generates reports that track stock shortages, so buying decisions come from the books rather than a walk around the warehouse.

Valuing the stock

TallyPrime supports several stock valuation methods, set item by item, including average cost, FIFO, LIFO (annual or perpetual), last purchase cost, standard cost and monthly average cost.

Agree the method with your accountant before entering opening stock, since it affects the stock value on your balance sheet and the margins in your reports.

Branches with their own TallyPrime

When a branch runs its own TallyPrime, data synchronization shares masters and transactions between branches, or between the head office and branches or warehouses. Both sides need the same TallyPrime release, and rules decide what each side sends and receives.

Sync can run online through Tally.NET Server, over your own private network, or on demand. On-demand sync through Tally.NET needs a valid licence and an active TSS. If branches share one company over the network instead, TallyPrime Server keeps it fast with many users.
