Moving to TallyPrime: what to prepare before implementation

By the PowerTally team 3 min read

A smooth TallyPrime setup starts with the right information ready: accounts and opening balances, customers and suppliers, stock, tax details and how many people will use it.

Decide how TallyPrime will be used

Before any data goes in, count how many people will use TallyPrime at the same time and how many locations hold stock or keep their own books. That decides the licence: Silver for one user, Gold for a team on the same network, TallyPrime Server for many users at once, and whether branches need data synchronization.

Decide too whether TallyPrime runs on your own computers or on Powercomputers’ cloud server, and whether you need VFD for TRA invoices from day one.

Your accounts and opening balances

Have your chart of accounts ready: the income, expense, asset and liability accounts you use today, plus bank accounts and any loans. Then the opening balance of each one at the date you start in TallyPrime, agreed with your accountant.

Pick the start date with care. Starting at the beginning of a month or financial year keeps comparisons clean and makes it easier to reconcile your old books with the new ones.

Customers, suppliers and what they owe

List every customer and supplier with their contact and tax details, and the bills still outstanding against each one, with dates and amounts. Entering outstanding bills one by one, rather than a single balance, is what lets the outstanding and ageing reports work from the start.

Have your own tax details ready too: your TIN and, if you’re VAT-registered, your VRN, so invoices and VAT settings are right from the first entry.

Stock, godowns and units

If you hold stock, list each item with its unit of measure, the godown where it’s kept, its opening quantity and value, and batch and expiry details where they apply. Agree the stock valuation method with your accountant first.

If you manufacture, note each finished item’s bill of materials: the raw materials and components it uses. Reorder levels can be added now or later, once you see how stock moves.

Reports, invoices and importing from Excel

Write down the reports management actually reads and the invoice layout you need, including your logo and any details customers expect. Powercomputers customizes Tally reports and invoice formats, so it helps to know this before go-live.

Most of this doesn’t have to be typed in by hand. TallyPrime can import data from Excel, using a sample file with predefined columns or your own file mapped with a template, for masters such as ledgers and stock items and for transactions such as payment vouchers and bill-wise details.

What Powercomputers does

We install TallyPrime and VFD locally or on our cloud server, configure your licence, features and data, set up VFD and any add-ons, and train your team in basic or advanced Tally, in-house at our office, on-site at your premises or remotely.

After go-live, we provide day-to-day support with technical issues and accounting errors. Book a free demo and we’ll walk through your business before anything is set up.
